Schedule

What is a Program Master Schedule?

The program master schedule is the high-level schedule that shows how all of a program's component projects and non-project work fit together over time. It does not get into the day-to-day task details of individual projects — that's the component project manager's job. Instead, it focuses on key milestones, phase transitions, interdependencies between components, and the overall timeline for benefits delivery.

When a program manager updates the master schedule, they are looking at how changes in one component ripple across others. A delay in Component A that feeds data into Component B needs to be reflected at the program level — not just managed quietly within the project.

For the PgMP exam, keep in mind that the program master schedule must stay aligned with organizational strategy. If business priorities shift, the master schedule may need to be revised and communicated to stakeholders.

Worked example

Example: A program manager leading a cloud migration program maintains a master schedule showing when each of six component projects will deliver its output. When one project slips by six weeks, the program manager updates the master schedule and triggers a dependency review — adjusting downstream component start dates and communicating the revised timeline to the steering committee.

Practice Question

PMP / PMI-ACP Style

Maximum-difficulty scenario. Two options appear plausible — only one is the correct PMI-aligned choice.

Scenario

Following a meeting between program sponsors and a government oversight body, a program manager needs to update the program master schedule to reflect new strategic priorities. Several component project managers are unaware of the changes discussed in that meeting.

What should the program manager do to ensure the program stays aligned with organizational goals?

A Update the master schedule independently and distribute the revised version to all component managers.
B Hold a program-level review with component managers to incorporate the strategic changes, update the master schedule collaboratively, and communicate updates to stakeholders.
C Request that the sponsors formally communicate the new priorities directly to each component project manager.
D Freeze the master schedule until the strategic priorities are fully finalized and documented.
